Compensation: $800.00 JMD/hour

In this fast-paced, dynamic role, you’ll manage complex calendars, travel coordination, executive meetings, and board-level presentation support—all while being a key connector across departments.

What You’ll Do
Calendar & Meeting Management:
  • Manage the calendar for the President & COO and select leadership team members.
  • Schedule and coordinate recurring leadership meetings, all-hands, and strategic events.
  • Maintain central oversight of executive PTO and time-off tracking.
  • Oversee cadence and planning for key leadership forums: MBRs, QBRs, Board meetings, etc.
Travel & Expense Coordination:
  • Plan and book international and domestic travel, accommodations, and itineraries.
  • Reconcile and submit expense reports in accordance with company policies.
Meeting & Event Logistics:
  • Organize virtual and in-person meeting logistics, including agendas, attendee coordination, and follow-up tracking.
  • Arrange catering, venue setup, and AV support for on-site events and meetings.
Board & Executive Presentation Support:
  • Compile executive and board-level presentations from multiple contributors.
  • Maintain version control, formatting consistency, and submission timelines.
  • Store and organize all board materials in a secure digital repository.
Information & Document Management:
  • Maintain executive files, templates, and leadership tools using OneNote, Teams, and/or SharePoint.
  • Track and follow up on leadership and board action items.
  • Compile pre-read packets and executive briefings.
Cross-Department Coordination:
  • Serve as a key liaison between executives and cross-functional teams.
  • Consolidate weekly leadership updates into an executive-facing summary.
 
What We’re Looking For
  • Highly organized, detail-driven, and proactive.
  • Comfortable working in fast-paced environments with minimal direction.
  • Clear communicator with strong interpersonal skills.
  • Fluent in managing calendars and logistics across multiple time zones.
  • Experienced in maintaining confidentiality and discretion.
 
Required Qualifications
  • 5–7 years of experience supporting executives or senior leadership, preferably at the C-suite level.
  • Advanced Microsoft Office proficiency: Excel, PowerPoint, OneNote, Teams (SharePoint preferred).
  • Strong verbal and written communication skills in English.
  • Proven success managing international travel and executive schedules.
  • Strong time management, organizational, and follow-up skills.
  • Experience working with confidential materials and executive-level communication.
 
Compensation & Benefits
  • Starting pay: $800 JMD per hour.
